We're in the process of building our team from the ground up, and we're looking for a dynamic, multi-skilled individual who thrives in a fast-paced, hands-on environment. You'll work closely with the leadership team to help us build and scale a multi-million-dollar apparel business.

As an Administrative Assistant with graphic art skills, you'll play a key role in supporting our operations by assisting with order fulfillment, handling logistics, and creating digital designs that align with our brand. You'll need to be someone who can pivot quickly, stay on top of many moving parts, and handle both creative and operational tasks with a high level of professionalism.

Key Responsibilities

Order Fulfillment & Logistics

  • Pull and organize orders efficiently, ensuring all details are accurate and ready for processing.
  • Coordinate shipments, track deliveries, and manage inventory to ensure timely order fulfillment.
  • Collaborate with the warehouse team to ensure products are packaged and dispatched correctly and on time.

Administrative Support

  • Manage day-to-day administrative tasks, including scheduling meetings, managing emails, and preparing reports.
  • Assist with inventory management and update product databases, ensuring all information is current and accurate.
  • Provide support in keeping the office running smoothly, including maintaining supplies and managing general office needs.

Graphic Design & Digital Content Creation

  • Design and produce digital art assets, including graphics for marketing, product mockups, and other branding materials.
  • Work closely with the creative team to maintain brand consistency across all digital platforms and physical products.
  • Assist in the creation of visual elements for customer orders, such as custom embroidery or print designs.

Multitasking & Prioritization

  • Manage multiple tasks simultaneously, ensuring that both administrative and creative deadlines are met.
  • Handle urgent tasks with a sense of priority and efficiency, ensuring that high-priority requests are addressed immediately.
  • Be proactive in identifying tasks that need attention, ensuring nothing falls through the cracks in a fast-paced environment.

Customer & Team Communication

  • Interact with customers or team members regarding order status, artwork approvals, and other inquiries, ensuring clear communication at all times.
  • Handle direct feedback or requests with professionalism, responding quickly and efficiently to resolve any issues.

Team Support & Miscellaneous Tasks

  • Assist with general office administration and support the leadership team as needed.
  • Help with event coordination, marketing initiatives, and any other tasks that arise as the business scales.
  • Offer flexibility and support across various departments when needed.

What We're Looking For

Graphic Art Skills: Proficiency in Adobe Creative Suite (Illustrator, Photoshop, InDesign) or similar design software. Ability to create clean, professional graphics for both print and digital use.

Order Fulfillment & Logistics: Experience in order processing, shipping, and tracking, with a focus on accuracy and timeliness. Familiarity with inventory management and logistics software is a plus.

Strong Organizational Skills: Ability to manage multiple projects at once, with a keen eye for detail and a strong sense of urgency.

Ability to Handle Directness: Comfortable working in a fast-paced environment with a team that values direct communication and efficiency. Must be able to prioritize and execute tasks quickly.

Multitasking Proficiency: Must excel at juggling multiple priorities and adapting quickly to changing needs and demands.

Strong Communication Skills: Excellent written and verbal communication skills, able to clearly convey information to customers, team members, and leadership.

Work Ethic & Initiative: A self-starter who is proactive and takes initiative. Must be comfortable working independently and as part of a small, dynamic team.

Tech-Savvy: Proficient with Microsoft Office Suite (Excel, Word, PowerPoint), Google Workspace, and inventory/order management software.
